The Background

At a major medical congress, a leading pharmaceutical company partnered with QPharma to modernize HCP engagement and sampling. Traditional booth approaches often failed to convert interest into post‑event action.

To solve this, the team created a digital‑first, fully compliant sampling experience aligned with the event theme, “Engage & Access,” combining representative interaction with intuitive tools such as an on‑site kiosk and secure “Briefcase” microsite.

The Challenge

Medical and scientific meetings offer strong engagement opportunities, but the client faced key challenges:

  • Post‑event drop‑off: HCPs often lost the intention to request samples after returning home.
  • Strict compliance: Sampling needed to meet PDMA, 21 CFR Part 203/11, and full LMR review, with no on‑site dispensing.
  • Crowded congress environment: The brand needed to stand out, drive conversations, and reach HCPs unfamiliar with the product.
  • Scalability: A repeatable, cross‑congress solution was required for future events and therapeutic areas.

 

The Goal:  Create an intuitive, engaging experience that preserved full regulatory rigor while prompting immediate HCP action.

  1. On‑Site Digital Kiosk – A touchscreen interface enabling quick, intuitive sample requests with a representative present to ensure proper detailing and compliant documentation.
  2. “Briefcase” Microsite – A secure hub extending the booth experience beyond the kiosk.
  3. Compliance‑Driven Infrastructure – All components met regulatory standards and passed full LMR review.
